Registration Policies
Our registration is through CampBrain. The link to register for our programs is https://twocoyoteswildernessschool.campbrainregistration.com/
Full payment is due two weeks before the first day of class (or by May 1st for summer camp). We do not accept cash. A credit card or ACH payment is required when you register on CampBrain.
If you do not plan on paying your full balance upon registering, you may pay a deposit per participant per program to hold your place and set up a payment plan. This deposit will hold your place until the full balance is received. We do not guarantee enrollment unless a deposit is received.
HOLIDAYS: Please note we do not account for all holidays. It is your responsibility to see if program dates fall on personal holidays observed.
CANCELLATIONS: Cancellation can only be accepted by notifying us via email to dani@twocoyotes.org. Cancelling registration in any program will forfeit the deposit for that program and cannot be applied to another balance due. Once a program begins, you are responsible for paying your remaining balance regardless of changes to your enrollment.
Cancellation policies are based on our investment in staff, program planning, as well as equipment purchases before your program. We cannot recover our expenses if you cancel. Short-notice cancellations often prevent others from attending.
If you must cancel, please provide at least 30 days’ notice. Cancellations 30 days or more before the first day a program begins will receive a refund less the non-refundable deposit.
Cancellations from 7 days to 30 days prior to a program receive 50% program credit (non-transferable and valid for one year), 50% balance forfeited.
Cancellations less than 7 days prior to a program will receive no credit and no refund.
These policies apply even if we are not able to offer in-person programming due to factors beyond our control (e.g. weather, pandemics).
Our instructors design programming, gather materials and commit themselves based on enrollment. By following through on your financial commitment you are supporting the work we do and value the time and labor of our staff in making our high-quality programming possible.
*If we cancel a program due to low enrollment, we will offer to transfer your payments to another program or refund you in full. In order to make commitments to our staff, during the school year we strive to close enrollment one month before a program date (for summer camp we close open enrollment on May 1st) and will reach out if it looks like we don’t have enough to run any given program. We do not provide refunds for weather cancellations or other factors beyond our control.*
LATE PICK-UPS: Our programs generally end at 3pm (unless you have registered for Pre/After Care which ends at 4pm). Parents who are late for the designated pick-up time will be charged a $25 late fee for being less than 30 minutes late and $50 for being 30+ minutes late. (If you are late for pick-up consistently, we will need to talk about whether or not the program is a good fit for you and your family.)
WEATHER: Our programs run in most weather conditions, but we may cancel or move programming indoors (where available) due to unsafe driving conditions, extreme cold, high winds, or other unsafe conditions. In the event of a weather cancellation, we will attempt to schedule a make-up day whenever possible. We do not provide refunds for weather cancellations.
We will send an email out the morning of a program if the program is canceled due to inclement weather. Please contact Ben DiNoia, Program Coordinator, with any questions about weather-related decisions.
SCHOLARSHIPS: Scholarships are available for all of our programs. You may request a scholarship when you register on CampBrain. More information can be found on our Scholarship & Financial Aid page. Scholarships are subject to change if there are changes to your enrollment. They are non-refundable and do not rollover.
Please send any registration related questions you may have to dani@twocoyotes.org.
Safety Policies
KNIFE USE: Knife use must always be supervised by an instructor. Knives are only allowed for students 8 and older who have proven they have reached a maturity level enabling them to flawlessly follow safety rules. Children receive training in knife safety from our staff. Knives should otherwise be stored in a small compartment of their backpacks and require permission to take out. If a student cannot follow the rules, their knife will be taken from them until the end of the day or longer if necessary. Read our detailed knife safety protocol here.
FIRST AID: There is a first aid kit and at least one lead instructor in each group. Our lead staff are pediatric and adult first-aid and CPR-certified through state-approved sources, and we certify them every two years or better. During summer camp, we have a designated First Aider on staff, separate from the camp director, who is the point person for any injuries that an instructor cannot handle on their own. In addition, the site manager or camp director is certified and available to visit an injured person at any time. At our annual week-long staff training in June, we cover basic first aid and certify for medication administration by a licensed nurse or doctor. Instructors will notify parents of any minor injuries (scratches, cuts, abrasions, tick bites) during pick up that day. Parents will be called immediately to report any injury that may require attention above basic first aid and to arrange for pickup.
INCLUSION AND BELONGING: Everything that we do at Two Coyotes is to foster connection. When individuals feel seen, they are able to develop a true sense of belonging within a community. One of the practices we uphold is to recognize people’s gender identities by using their stated pronouns (e.g. she/he/they). Like all activities at Two Coyotes, sharing pronouns is an opt-in practice that is integrated in age appropriate ways. Please read here for more information about what this looks like within our programs. We understand that families in our community have varying beliefs and practices around many issues, including gender identity, and everyone is welcome to participate and learn together as long as they share our commitment to create an inclusive and welcoming space for all. We are happy to support you or your child in their learning journey in any way that we can, and to learn from your experiences as well. Please reach out to Maggie Gotterer with any questions.
EXPECTATIONS: We’ve shared what you can expect from us and are always happy to answer your questions. We thrive on the stories and experiences of people of all ages in our programs. In order for a child to be safe and successful and get the most out of their time with Two Coyotes, there are some expectations that help us create the amazing experiences families grow to love. For everyone’s safety, please read the specific Expectations for children in each of our programs (organized by age group), in this section of our website. Additional formal written policies and procedures for our summer camps are available per requirements by the State of CT for behavioral management and supervision, emergency management, abuse and neglect, and staff training.
You can find a complete list of our safety protocols here. Please contact our Program Coordinator, Ben DiNoia, with any questions on our expectations and safety protocols.
